Your Client Handoff Is Part of the Automation

A Loom video and a final meeting can explain what was built. They cannot keep a client current after the first live change.

The client handoff is often treated as a final meeting, a Loom video, and a folder of documentation. That can explain what was built on launch day. It does not explain the state of the workflow after the first change.

Once the automation is live, the client needs a current answer to a different set of questions: What changed? Who approved it? Did it work? Who owns it now?

A handoff that depends on memory expires

Launch documentation begins aging as soon as the workflow changes. A new routing rule, an updated prompt, a different CRM field, or a paused alert can make the original handoff incomplete.

The problem is not that the agency failed to document the build. The problem is treating documentation as a one-time event when the workflow is still changing.

The client needs a current answer

A useful client update is narrow. It should say what the client asked for, what the agency changed, who approved the decision, how the result was checked, and whether anything remains unresolved.

That answer should come from the work itself. If the team has to reconstruct it from Slack, task comments, and automation logs at month end, the update is already too expensive to produce consistently.

Build the brief while the work happens

The simplest approach is to capture the few facts that matter at each step:

  • File the original client request.
  • Record the decision and approver before the live edit.
  • Attach the workflow version or implementation note.
  • Add the verification result, including any failed checks.
  • Keep the current owner visible after closure.

Make proof part of completion

A task marked done says the team finished an activity. A filed verification result says what actually happened. Those are not the same thing.

For client workflow support, completion should wait for proof. Once that proof is attached, the same record can become the client brief without another round of writing and searching.

A strong handoff is not a snapshot of launch day. It is the current record of what the client asked for and what the agency can prove.
